What to put on a freelance invoice

  • A real invoice number. Use a running sequence like INV-0007 — clients' accounting departments need it, and it makes your bookkeeping (and tax season) far easier.
  • Hourly work as quantity × rate. Put hours in the quantity column and your rate as the unit price: "UX design — 12 × $85". The template multiplies it out so the math is never questioned.
  • Fixed-price items as quantity 1. "Logo package — 1 × $1,200" sits happily next to hourly lines on the same invoice.
  • A due date and payment terms. "Due within 14 days" in the notes, plus your bank, PayPal, or Wise details, removes every excuse for a late payment.
  • Tax, if you charge it. Set your VAT/GST/sales-tax percentage once and it's applied to the subtotal automatically.

Example freelance invoice line items

A typical freelance web-project invoice built with this template might look like: "Discovery & wireframes — 8 × $95", "Visual design — 24 × $95", "Development — 1 × $3,600", followed by a 10% repeat-client discount and local tax. Enter those five numbers and the finished PDF shows a subtotal, the discount, tax, and a bold total due — no spreadsheet needed.

Tips for getting paid faster

Send the invoice the same day you deliver the work, while it's top of mind. Keep payment terms short — 14 days beats 30 unless the client's process demands otherwise. Put the exact payment method in the notes so there's zero friction. And keep your numbering consistent: a professional-looking, correctly-totaled PDF invoice signals that you track your receivables and will follow up.

Frequently asked questions

Is this freelance invoice template free?

Yes — completely free, with no sign-up and no watermark on the PDF. It's the same generator behind all templates on this site, so nothing is locked.

Can I invoice in my client's currency?

Yes. Choose from USD, EUR, GBP, CNY, JPY, AUD, CAD, or INR and the symbol and formatting update across the whole invoice, including the PDF.

Do I keep a copy of my invoices?

The PDF you download is your copy — file it wherever you keep records. Your latest draft also stays saved in your browser, so raising next month's invoice is a 30-second edit.
